This Cookie Policy (this "Policy") explains how BusyBook, Inc. ("BusyBook," "we," "us," or "our") uses cookies and similar tracking technologies on our website and platform (busybook.co and app.busybook.co). This Policy should be read in conjunction with our Privacy Policy.

2. What Are Cookies
Cookies are small text files stored on your device (computer, tablet, or mobile phone) when you visit a website. They enable the website to remember your actions and preferences (such as login credentials, language, font size, and other display preferences) over a period of time, so you do not have to re-enter them each time you return to the site or browse between pages. Similar technologies include pixels, web beacons, local storage, and session storage (collectively referred to herein as "cookies" unless otherwise specified).
3. Types of Cookies We Use
3.1 Essential Cookies
Required for the Platform to function properly. Cannot be disabled.
- Authentication and session management
- Security features and fraud prevention
- Load balancing and server routing
- User preference storage essential to service delivery
3.2 Analytics Cookies
Help us understand how users interact with our Platform. Can be disabled.
Services Used:
- Self-hosted analytics (Umami): Website usage analytics hosted on infrastructure under our direct control. Umami is privacy-focused: it does not use cookies for cross-site tracking, does not collect personally identifiable information, and all data remains on servers under BusyBook's control.
- Third-party analytics (PostHog): Product usage analytics (feature interactions, page views, funnels) hosted by PostHog, Inc. on their cloud infrastructure (United States). Data is transmitted to and processed by PostHog, Inc.
What they track:
- Pages visited
- Features used
- Time spent on Platform
- Navigation paths
- Error rates
Important: Only Umami analytics data remains entirely within our controlled environment. PostHog data is processed on PostHog's cloud infrastructure.
3.3 Functional Cookies
Remember your preferences and settings. Can be disabled.
- Language and locale preferences
- Display settings and layout preferences
- Form auto-fill (with your consent)
- Remembered selections and configurations
3.4 Marketing Cookies
Not currently implemented. BusyBook does not currently deploy marketing or advertising cookies on the Platform. We do not use third-party advertising cookies or share data with advertisers. If we introduce marketing cookies in the future, we will update this Policy and obtain your consent where required by law.
3.5 Tenant Website Analytics (Google Analytics)
Business owners who use BusyBook to build and host their client-facing websites may optionally enable Google Analytics 4 (GA4) on those websites.
Important: Google Analytics is not enabled on the BusyBook Platform (app.busybook.co) itself. It is only active on tenant-hosted websites where the business owner has explicitly configured a GA4 Measurement ID. BusyBook is not the data controller for analytics data collected via Google Analytics on tenant websites; the business owner is the controller for that data.

BusyBook reserves the right to add, modify, or remove cookies as needed to operate and improve the Platform. Material changes to cookie usage will be reflected in updates to this Policy.
5. Infrastructure Cookies
Our Platform uses infrastructure services that may set cookies. These fall into three categories:
5.1 Authentication and Database Infrastructure
Session tokens and access tokens used to manage authenticated sessions. These are hosted on infrastructure under BusyBook's direct control and are classified as Essential Cookies.
5.2 Self-Hosted Analytics Services
Umami: Website analytics self-hosted on BusyBook's infrastructure. Data remains within our controlled environment and is not transmitted to third-party companies.
5.3 Third-Party Analytics Services
- PostHog: Product analytics hosted by PostHog, Inc. on their cloud infrastructure (United States). Data is transmitted to PostHog's servers for processing.
- Google Analytics (tenant websites only, when enabled by the business owner): Hosted by Google. Data is transmitted to Google's servers.
6. Managing Your Cookie Preferences
6.1 Platform Settings
Analytics cookies can be disabled in your BusyBook account settings:
- Navigate to Settings in your account.
- Select Privacy.
- Toggle "Analytics and Improvements" off.
6.2 Browser Settings
You can control cookies through your browser settings:
- Chrome: Settings > Privacy and security > Cookies and other site data
- Firefox: Settings > Privacy & Security > Cookies and Site Data
- Safari: Preferences > Privacy > Manage Website Data
- Edge: Settings > Cookies and site permissions
6.3 Google Analytics Opt-Out
If you visit a BusyBook-hosted business website that uses Google Analytics, you can opt out using the Google Analytics Opt-Out Browser Add-on.
6.4 Do Not Track / Global Privacy Control
We honor Global Privacy Control ("GPC") signals. If your browser transmits a GPC signal, we will treat it as an opt-out of non-essential cookies where required by applicable law.
7. Consequences of Disabling Cookies
If you disable Essential Cookies:
- You may not be able to log in to the Platform
- Core features may not function properly
- Your preferences will not be saved between sessions
If you disable Analytics Cookies:
- The Platform will continue to function fully
- We will not track your usage patterns for improvement purposes
If you disable Functional Cookies:
- The Platform will function, but you may need to re-enter preferences and settings on each visit
8. Third-Party Cookie Practices
BusyBook does not permit third-party advertising networks to place cookies on the Platform. The only third-party cookies present on the Platform are those from service providers (PostHog) engaged by BusyBook to provide analytics services as described in Section 3. These third-party service providers are contractually prohibited from using data collected through their cookies for their own marketing or advertising purposes.
9. Updates to This Policy
We may update this Policy from time to time to reflect changes in our cookie practices, applicable law, or the Services. When we make material changes, we will: (a) update the "Last Updated" date at the top of this Policy; and (b) notify Account Holders via email or in-Platform notification at least thirty (30) days before changes take effect. Your continued use of the Platform after changes become effective constitutes acceptance of the updated Policy.
